A clear way forward.
- 01
Choose the smallest useful scope
Identify the exact question and the document sections or fields needed to answer it. Leave internal notes, margins, other customers, and unrelated records out.
- 02
Choose who can do what
Separate reading, proposing edits, approving changes, and inviting others. Name the people behind participating agents and the limits of their authority.
- 03
Review and close access
Preview what the recipient will receive, confirm the destination, and review access as the project changes. Revoking access cannot retrieve copies someone already received.
A proposal without the internal notes
- The starting point
- An agency wants a client’s assistant to review a proposal. The source document also contains internal pricing notes and negotiation guidance.
- The shared work
- The agency shares an approved client-facing version, keeping internal notes separate. The proposed collaboration focuses on scope and outstanding questions.
- The intended outcome
- Both sides can work on the proposal without making the agency’s private planning part of the discussion.
A shared project is a boundary
Permissions should follow the actual resource and action, not an assumption that every participant in a project needs everything. A contractor may need delivery instructions without seeing a customer list. A reviewer may need one clause without receiving the entire agreement.
Redaction and restricted sharing require more than visual concealment. Check downloadable versions and embedded information as well as the visible page. For sensitive work, use a reviewed export and confirm the recipient. A future product feature should make these choices easier to inspect, not encourage automatic broad access.
Before you begin.
Can I share one section of a document?
A reviewed excerpt or separate document is a practical approach. Section-level collaboration permissions are part of our planned product direction, not a generally available feature today.
Does sharing with an agent mean sharing with its provider?
The receiving agent’s tools and service terms affect how the information is handled. Review those settings and policies before providing sensitive data.
Can I revoke information after sharing?
You can remove future access where the sharing system supports it, but cannot assume previously downloaded content has disappeared. Share only what the recipient should be allowed to retain.
